QUALIFICATIONS AND JOB DESCRIPTION

Homag Turkey&Middle East  –Management Asistant

 The Position

 Title

Management Asistant

 Work Responsibilities

 -      Maintain Director’s office systems, including CRM data management and filing,

-       Preparing weekly / monthly travel report (Budget, destination, and time details),

-       Ability to anticipate Director’s needs and assist to keep them on track with complex issues, often of a confidential nature,

-       Supervise all Trust incoming/outgoing mail.

-       Providing Personal/Executive support to high level managers,

-       Ability to translate texts and mails into German and/or English,

-       Manage Director’s travel arrangements (including visas/accommodation),

-       A dynamic personality with ability to focus on different subjects and maintain an effective follow up,

-       Being Presentable,

-       Being able to adapt to flexible working hours,

-       Maintain records of Director’s contacts,

-       Produce documents, briefing papers, reports and presentations for the Director,

-       Organise meetings and ensure that Director is well prepared for those meetings,

-       Greeting, receiving, and guiding visitors at all levels of seniority.

-       Any other duties as may reasonably be required by the Director.

 

Reporting to

Managing Director HOMAG Turkey&Middle East

 Travelling

Occasionally, both within Turkey and internationally.

 Requirements

 Education

Higher education.

 

Qualifications and Experience

 

Educated to degree level or equivalent.

 

-       Excellent command of spoken and written German and/or English, ability to perform accurate translations,

-       Experienced Personal Assistant at senior management level,

-       Experience of electronic diary management,

-       Experience of working in a Higher Education Environment,

-       Exceptional interpersonal and communication skills, to enable professional interaction

with a wide range of contacts, both internal and external to the University,

-       Ability to organise and plan own work,

-       Excellent attention to detail, with the ability to maintain a high level of accuracy,

-       A flexible, pro-active approach to work including the ability to prioritise and re-prioritise,

-       Ability to work on own initiative,

-       Ability to deal with sensitive information with discretion and to maintain confidentiality,

-       Excellent use of MS Office (Outlook, Powerpoint, Excel, Word etc.) tools.

has experience in a busy, diverse and demanding role, demonstrating strong

organisational skills, ability to plan and prioritise a complex workload, and meet

deadlines

? has experience in co­ordinating activity within a team

? has a proactive approach, ability to work on your own initiative, and be assertive in order

to see tasks through to completion

? has the ability to find innovative approaches to challenges

? has some analysis and research experience

? has the ability to work through flexibly and collaboratively in a small team environment to

meet changing organisational requirements

? has strong interpersonal skills and the ability to establish and develop effective

relationships

? has excellent written and verbal communication, presentation and influencing skills, and

excellent attention to detail

? has strong IT skills including confidence in the use of Microsoft Office (Outlook, Word,

Excel and PowerPoint)

? has an understanding and experience of data protection requirements

? an understanding of how to handle sensitive situations and the need for confidentiality

? preferably has some experience of working in a social enterprise, community or

voluntary organisations (desirable), or at least an interest in social enterprise

? ideally has a first aider at work qualification
